How Qvest Modernized America on Tech’s Student Enrollment Process with Agentforce

America on Tech (AOT) is a nonprofit organization dedicated to preparing the next generation of technology leaders from underestimated communities. It offers programs that provide technology skills-building and professional opportunities for students from high school through college, focusing on four priority areas:

  • Development: Providing no-cost, high-quality technical training in in-demand fields like Machine Learning, Web Development, Data Science, Cyber Security, Product Management, UX Design, and emerging Artificial Intelligence (AI) tools.
  • Mentorship: Connecting students with tech professionals who serve as career coaches and mentors.
  • NetworksPartnering with corporate talent acquisition teams to give students direct access to competitive internships and full-time jobs.
  • Access: Creating direct pipelines into major industries, thereby ensuring long-term economic mobility and prosperity for their alumni. 

To support their mission, Qvest implemented a cutting-edge solution, built on the Salesforce Agentforce platform, to modernize and scale their manual application review process.

Operational Hurdles: Fatigue, Manual Workflows, and Scalability Limits

AOT faced significant friction points due to a growing applicant pool and a fragmented, manual review process. 

Key pain points included:

  • Reviewer Fatigue: High-touch manual workflows were leading to reviewer fatigue, particularly as program sizes increased.  
  • Evaluation Variance: A lack of automated workflows resulted in potential inconsistency in how applications could be evaluated.  
  • Scalability Issues: The existing infrastructure presented technical difficulties in maintaining long-term growth and scalability.

Transforming the Application Ecosystem: From Manual Review to Automated Scale

The implementation was designed to achieve five strategic objectives:

  • Need-Based Rubric Scoring: Automate a standardized rubric to objectively score applicants based on their level of need, ensuring resources are prioritized for the right communities.
  • Automated Eligibility Verification: Streamline eligibility checks to ensure applicants meet all specific program criteria with minimal human review.
  • Application Review Accuracy: Ensure applications are evaluated consistently against defined eligibility criteria.
  • Process Automation: Reduce manual touchpoints to standardize the reviewer experience.
  • Data Integrity & Eligibility Compliance: Maintain clean, structured data through automated transcript extraction and validation.
  • Scalability: Build a flexible foundation capable of supporting future program growth.

Qvest implemented a comprehensive Salesforce Agentforce solution to automate AOT’s highly manual application review process, which previously required thousands of manual reviews per year.

The solution addressed their most time-consuming pain points, including transcript verification and eligibility screening, by breaking the workflow into several intelligent, automated components:

  • Automated Eligibility Screening: Salesforce flows instantly evaluate applications against AOT's criteria, automatically checking for duplicate submissions, eligible home and school zip codes, grade levels, and other criteria.
  • AI Transcript Verification: Agentforce extracts and cross-references data from various uploaded files (including PDFs and photos) to verify grades and school names, automatically flagging illegible, missing, or mismatched documents.
  • Standardized Rubric Scoring: The system replaces manual filtering by capturing rubric categories (like financial need and tech access) as structured data, automatically calculating total applicant scores.
  • Human-in-the-Loop Reviews: The AI acts strictly as an assistant that flags errors and suggests application stage updates (e.g., "Stuck - Transcript Error"), deliberately leaving all final acceptance and rejection decisions to human staff to prevent incorrect automated rejections.

The project delivered a scalable, automated procedure that drastically reduced manual review cycles. Key results included:

  • Accelerated Enrollment: Faster processing for thousands of applications per year.  
  • Standardized Evaluations: Automated rubric scoring and eligibility checks ensure all applicants are evaluated via a consistent process.  
  • Operational Efficiency: Restored mental bandwidth and productivity for the AOT team by automating administrative hurdles, allowing them to focus on high-value tasks like personal statement evaluations and continue to focus on supporting students.  
  • Future Readiness: A flexible foundation that requires minimal changes by the AOT support team when business processes evolve.
